Otley Show Marquee - Business Exhibitor Booking Form

Calling all Otley BID levy payers… we invite you to exhibit your business at this year’s Otley Show on Saturday 17th May 2025 in our “Shop Local” marquee in the main show ground.

If you would like to exhibit, please complete the booking form before Wednesday 9th April. There are only 25 individual pitches and these are available on a first come first served basis.

Here are some more details:

We are aiming to fill the Otley Chamber Marquee with a maximum of 25 Otley BID Members.

Last year’s turnout was great, some were selling, others were more PR and talking to potential customers. It’s a terrific opportunity to promote your business as well as Otley as a ‘day out destination’ and a great place to shop.

Pitches:

Pitches are approx 2m (wide) x 3m (deep), however there is room to expand or contract a little as you wish, just make sure all your neighbours on your row have enough space too.

Timings:

• The show kicks off from 8am to 5.30pm
• Your stand should be setup and ready to go live from 9am
• Earliest time you can take down your stand is 4.30pm

Things to bring with you:

You will need to provide your own display tables and chairs. If you need electricity, we have been advised that only silent generators are allowed, and you will need to sort this out yourself along with the appropriate insurance. Generators are not allowed inside our marquee.

Competition:

As in previous years, we’re planning to run a simple competition to get people to linger in the marquee for as long as possible. We will organise some prize hampers and to that end we would like each of the businesses to contribute £25 to the run a competition (see below*).

Cost:

• The cost of your pitch is 'FREE' as an Otley BID levy payer, however, we kindly request a fee of £25 per pitch which goes towards running the competition, prizes, dressing the tent and administration. Please also ensure that your Otley BID levy payments are up to date prior to booking.
• Included with your pitch are 2 x Show Day tickets and a trade parking permit.
• Otley Business Improvement District will cover the cost of the marquee hire, set up and break down.

Compulsory Attendance:

We do worry about businesses simply not turning up on the day, leaving us with an embarrassingly empty marquee. To avoid this, we will send an invoice for £100 to any businesses who DO NOT show up on the day.

Public Liability Insurance:

Each stall holder MUST provide their own Public Liability Insurance. Please check that your existing business insurance covers this event.

Food & Hygiene Certificates

Please note that NO HOT food can be sold within the Otley Show Marquee.

The Show Committee have advised us they usually have inspectors checking up on hygiene etc. so anyone selling or giving away COLD food MUST have a hygiene certificate.

Set Up & Break Down:

Finally, if you can help set up and “dress” the marquee on Friday with signage, bunting, etc., or take them down late on Saturday, around 5pm, please let me know. Volunteers are always welcome and a very necessary part of creating a successful show for all the businesses that attend. At most it’s 30 minutes of your day!
